These Terms explain your rights and obligations when using our services. They cover everything from how we provide services, our pricing and payment terms, to warranty conditions, data protection, and what happens if something goes wrong. 3. Scope of Services

5. Quotations and Booking Process

A. Free Quotes & Site Surveys

We offer free no-obligation quotations for most services. Quotes include a clear breakdown of labour, materials, and VAT.

B. Validity Period

All quotations remain valid for 30 calendar days unless stated otherwise in writing.

C. Acceptance of Work

Once you approve a quote (verbally, in writing, or via email) and, where required, pay a deposit, a legally binding agreement is formed.

D. Booking Confirmation

A confirmation email or SMS will be sent once your service has been scheduled. Bookings are not confirmed until acknowledged by UK Freez Solutions.

6. Pricing and Payment Terms

A. Transparency

We are committed to transparent pricing. Any additions to the original quote will be discussed and agreed upon before work proceeds.

B. Deposits

Some services may require an upfront deposit (usually 25% to 50%) prior to scheduling. Deposits confirm your commitment and allow us to allocate labour and materials.

C. Payment Methods

  • Credit/debit cards (Visa, Mastercard)

D. Final Payments

E. Late Payment Consequences

7. Service Delivery

A. Installation Dates

We strive to meet agreed deadlines. However, installation dates are estimates and may vary due to external factors including supply chain delays, access restrictions, or inclement weather.

B. Engineer Responsibilities

Our engineers:

  • Are fully trained and carry valid certifications
  • Will arrive with appropriate PPE and tools
  • Follow safety procedures and respect your property
  • Will explain how your new system works and provide user guidance if requested

C. Client Responsibilities

You agree to:

  • Provide clear and unobstructed access to the installation area
  • Ensure adults (18+) are present on-site during visits
  • Notify us in advance of any structural, electrical, or access issues

Additional labour costs may apply if our team encounters unexpected obstructions or hazards.

8. Amendments, Rescheduling, and Cancellations

A. Customer-Initiated Changes

You can reschedule or cancel your booking without penalty up to 48 hours before the agreed appointment. Cancellations with less than 48 hours’ notice may be subject to a charge to cover lost time.

B. Company-Initiated Changes

We reserve the right to reschedule or cancel services for reasons such as staff illness, supplier shortages, or adverse weather. In such cases, you will be notified promptly and offered a new date or a full refund.

C. Variation of Work

Should the scope of work change due to site conditions or your request, a revised quote will be issued. No additional work will be undertaken without your approval.

9. Warranties and Defects Liability

UK Freez Solutions offers a 12-month workmanship warranty for all installation services.

A. Inclusions:

  • Workmanship faults
  • Defective parts installed by us (subject to manufacturer terms)
  • Operational issues resulting from installation errors

B. Exclusions:

  • Problems caused by external power failures or poor maintenance
  • Tampering by third parties
  • Vandalism, theft, fire, or flood damage
  • Failures caused by unapproved equipment not supplied by us

All warranty claims must be submitted in writing along with proof of service and evidence of the fault. We will respond within 7 working days.

10. Limitation of Liability

To the fullest extent permitted by law, UK Freez Solutions is not liable for:

  • Business losses, including revenue, profits, or contracts
  • Losses from system misuse or unauthorised alteration
  • Any damage caused by third-party tradesmen after our visit

Our total liability shall be limited to the value of the contract for the services provided.

11. Insurance Coverage

We hold valid Public Liability Insurance and Employers’ Liability Insurance that meet UK legal requirements. Copies of our insurance certificates can be provided upon request.

12. Title of Goods

All products or materials supplied remain the property of UK Freez Solutions until payment is received in full. If payment is not made, we reserve the right to remove such items (excluding those fixed to the structure).

13. Health, Safety & Environmental Compliance

We conduct all work under the Health and Safety at Work Act 1974 and follow the Control of Substances Hazardous to Health (COSHH) and F-Gas Regulations.

All waste, including refrigerant gases and old units, is disposed of following UK environmental regulations.

14. Intellectual Property

The content on our website, brochures, technical documents, and installation reports remains our intellectual property. You may not replicate or distribute these without written permission.

15. Data Protection and Privacy

All personal information collected during service delivery is managed under the Data Protection Act 2018 and our published Privacy Policy. Your data will only be used for legitimate purposes related to your enquiry or service delivery.

16. Force Majeure

Neither party shall be liable for delays or non-performance caused by events outside of reasonable control, including:

  • Natural disasters
  • Acts of terrorism
  • Pandemic-related lockdowns
  • Utility supply failures

In such cases, timeframes will be adjusted reasonably.

17. Feedback and Complaints

18. Termination and Breach

  • There is verbal or physical abuse of our staff

Upon termination, all sums owed must be paid immediately.

19. Jurisdiction and Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. All disputes shall be subject to the exclusive jurisdiction of the English courts.

20. Severability Clause

If any clause in these Terms is deemed unlawful or unenforceable, it shall be severed from the Terms without affecting the validity of the remaining provisions.

21. Updates to Terms

These Terms may be updated from time to time to reflect changes in law, pricing, or operations. Clients will be notified via email or our website when significant changes are made.
